Job description:

As a Group Executive/Legal assistant, you will support Senior management of the Group and will mainly work with our Chief Commercial Officer and General Counsel to make key corporate processes run more smoothly and efficiently. You will be responsible for a broad range of tasks where strong organizational skills, a proactive attitude and total integrity are key.

Responsibilities Executive part:

  • Monitoring and driving administrative processes involving Senior Management;

  • Managing travel arrangements of Senior Management;

  • Organising Senior Management’s agendas, in particular for large group meetings;

  • Organising Senior Management staff meetings from A to Z;

  • Supporting Senior Management in the preparation of management presentations;

  • Assisting with management reporting to various stakeholders;

  • Actively connecting with external and internal stakeholders (eg. sending e-mails on behalf of Senior Management);

  • Providing general administrative support to Senior Management and assisting them with ad hoc corporate projects;

  • Ensuring smooth progress of tasks, setting priorities, communicating regularly/proactively and managing all relevant stakeholders, to ensure proper delivery and efficient time management;

Responsibilities Legal part:

  • Co-ordinating the execution of (legal) documents;

  • Providing support with regard to commercial contracts such as: 

    • Setting up, consolidating and managing a group-wide contracts database, actively working with local GMs to obtain copies of existing commercial agreements,

    • Ensuring proactive contracts lifecycle management, 

    • Keeping track of contract review and negotiation processes,

    • Providing appropriate support to the review and negotiation process where needed,

    • Supporting the development and management of template agreements, 

    • Supporting the implementation of standard terms and conditions, 

    • Assisting with the monthly reporting to various stakeholders,

    • etc.;

  • Providing support in relation to general corporate housekeeping activities of all Group entities;

  • Providing support in finance related questions such as the review of parental guarantees, managing KYC and AML requests, …

  • Maintaining an overview of the group insurance portfolio and assisting the General Counsel with the management thereof;

  • Providing support with the roll-out and annual review process of Group policies and procedures in relation to corporate legal compliance, e-learnings and the launch of internal audit tasks or instructions;

  • Assisting and providing support in connection with M&A transactions, including due diligence processes as well as overviewing and keeping track of closing and post-closing actions as well as PMI activities;

  • Providing general administrative support to the Legal department.

Profile:

  • University Bachelor or Superior School degree – Master’s degree is a plus

  • Minimum 10 years total professional experience, of which at least 5 years of relevant experience (executive/legal assistant)

  • Background as legal assistant or assistant in a law firm is a strong plus

  • High degree of initiative, proactivity, flexibility and teamwork

  • Excellent organizational skills and high attention to detail

  • Strong problem solving abilities

  • Excellent communication skills

  • Fluent in Dutch, French and English

  • High proficiency in Microsoft Office applications and use of databases

  • Ability to work quickly and efficiently in a fast-paced environment, keeping a cool head while remaining graceful under pressure
